Terms of service
Last updated 25 October 2026
DRAFT: these terms are a working draft and will be reviewed by a solicitor before launch.
Who we are
Property Grid is run by Cyber Investments LTD t/a Property Grid, company number 17510180, of 6 Hill Rise, Seaford, United Kingdom, BN25 2UA ("we", "us"). "You" means the organisation or person who signs up, and anyone you let use your account.
The service
Property Grid is software for landlords, letting agents, estate agents and property managers. We give you the right to use it while your subscription or trial is active. We may improve, change or retire features; we will tell you before we remove something you rely on.
Software assistance, not advice
Property Grid helps you keep records and work to deadlines. It does not give legal, tax, financial or regulatory advice. Calculators, checks, templates, AI suggestions and rule packs are aids: you are responsible for checking them, for the notices you serve and for meeting your own legal duties. Rates and rules can change, so check the current figures before you rely on them.
Your account
- Give accurate details and keep your sign-in details and two-step codes secret.
- You are responsible for what happens under your account and for the people you add. Remove people who leave.
- Tell us promptly if you think your account has been misused.
Acceptable use
- Use the service only for lawful property business, and only to hold data you are entitled to hold.
- Do not try to break, overload, copy or reverse-engineer the service, or look at another customer's data.
- Do not upload malicious files, send spam, or use the service to harass or discriminate against anyone.
- Do not resell the service or let people outside your organisation use your account.
We may suspend an account that breaks these rules or puts others at risk, and will explain why where we can.
Subscriptions and payment
Plans, add-ons and what they include are shown on our pricing page. Subscriptions renew until cancelled and are charged in advance through our payment provider. If a payment fails we will tell you and try again; an unpaid account may become read-only, then be suspended. We may change prices for future periods with notice. Cancelling and refunds are covered in our cancellation and refund policy.
Your data
Your data stays yours. You are the controller of the personal data of your tenants, landlords, applicants and others; we process it for you under your instructions. Our privacy policy sets out how we handle data, and a data processing agreement is available on request. You can export your data while your account is active, and we delete it after the agreement ends as described in the cancellation policy, except where the law requires us to keep it.
Availability and support
We aim to keep the service available and backed up, but we do not promise it will never be interrupted or error-free. We will tell you about planned maintenance where we can.
Our responsibility to you
We will provide the service with reasonable care and skill. Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud. Subject to that, we are not liable for loss of profit, loss of business, or loss that was not reasonably foreseeable, and our total liability for anything arising from the service in any twelve months is limited to the fees you paid us in that period. We are not responsible for decisions you make using the software, for notices served in error, or for failures of services outside our control.
Ending the agreement
You can cancel at any time. We can end the agreement if you seriously or repeatedly break these terms, or if we stop offering the service, in which case we will refund any fees paid for the period after it ends.
Changes to these terms
We may update these terms. We will tell you about important changes before they apply. If you keep using the service afterwards, you accept the new terms.
The law and contact
These terms are governed by the law of England and Wales, and its courts can decide disputes (if you are in Scotland or Northern Ireland you may also use your local courts). Questions: please use our contact page.
