Frequently asked questions
Straight answers about what Property Grid does, what it costs and how your data is looked after.
About Property Grid
- What is Property Grid?
- Property Grid is online software for UK landlords, letting agents, property managers and estate agents. It keeps properties, people, rent, repairs, compliance and paperwork in one place, and reminds you what needs attention each day.
- Who is it for?
- Landlords with one home or many, landlord companies, letting agents, property managers and estate agents. Each type of customer starts on the plan that suits them, and agents who both sell and let can combine the two.
- Is it built for UK law?
- Yes. It is designed around UK practice, including gas and electrical safety, deposit protection, Right to Rent, HMO licensing, Making Tax Digital and UK GDPR. Rules are kept as data so they can be updated when the law changes. It is software assistance, not legal advice.
Getting started
- Can I try it before I pay?
- Yes. Every sign-up starts with a free trial on the plan for your kind of business. You can change plan at any time from Plan and billing.
- Can I bring my existing records in?
- Yes. Download a template for properties, landlords, tenants and more, fill it in, and upload it. Each row is checked first and you are told what needs fixing before anything is saved.
- How long does it take to set up?
- Most people have their first properties and people in within an hour. A Getting started panel on the home screen lists the first steps for your type of business.
- Can I see it working first?
- Yes. There are read-only demos you can look around without signing up. If you are a serious prospect we can arrange a private demo where you can change things as you like. Contact us to ask.
Features
- Does it track compliance such as gas and electrical certificates?
- Yes. It works out which checks apply to each property, shows what is current, due or overdue, and reminds you before things expire. Records that came from an upload or from reading a document with AI are held for a person to verify.
- Can tenants, landlords and contractors log in?
- Yes. Each has their own secure portal and sees only what belongs to them. Tenants can report repairs, landlords can see statements and approve repairs, and contractors can accept jobs and send quotes and invoices from a phone.
- Does it handle rent and bank statements?
- Yes. Rent is charged for you, payments are allocated to what is owed, and bank statements can be imported and matched to tenancies. Arrears are followed up in steps you control, and it will not chase a tenant who is protected, for example in breathing space.
- Can it produce landlord statements and pay landlords?
- Yes, on the plans for agents and property managers. It builds statements, takes your fee, groups approved statements into payout batches for your bank, and checks that client money never goes below nil.
- Does it support estate agency, selling homes?
- Yes. It covers leads, valuations, instructions, adverts, buyers, viewings, offers, sales progression, fees and commission, with a public website of your adverts.
- Does it connect to Rightmove or Zoopla?
- Not yet. Property portals only give feed access to approved agents, so we are applying. Today adverts can be published on your own public page and exported as files.
- Is there an AI assistant?
- AI is used to help with drafting and filing, never to decide for you. For example it can draft an advert or read a certificate, and a person always checks the result before it is used. Every AI feature has a non-AI fallback.
Pricing and plans
- How much does it cost?
- Prices are on the pricing page and are monthly, with no long contract. Landlords pay by plan, agents pay by plan or by the number of homes they manage.
- Can I combine selling and letting?
- Yes. Combined packages for agents who both sell and let cost less than buying both separately.
- Can I change or cancel my plan?
- Yes. You can change plan from Plan and billing.
Security and your data
- Is my data kept separate from other customers?
- Yes. Every organisation is strictly separated, and within your organisation each person only sees what their role and data scope allow.
- How is sensitive data protected?
- Bank details, dates of birth, National Insurance numbers and similar details are stored encrypted. Uploaded files are scanned for viruses and are only served through secure links. Owners, administrators and accounts users must use two-factor sign-in.
- Does it help with UK GDPR?
- Yes. It has tools for data subject requests, erasure, retention periods, legal holds, a processing record and a personal data breach register. These support your duties; they do not replace legal advice.
- Do you use my data to train AI?
- No.
- Where is my data stored?
- See the privacy policy for hosting and sub-processor details.
Support
- Where can I find help?
- The help guide explains each part of the system step by step, and the contact page reaches the team. Signed-in users also get the full help centre inside the app.
- Can you help me move from another system?
- Yes, get in touch and tell us what you use now. Most moves are a spreadsheet export followed by an import.
